Permitted Use

General

BillyLids Therapy embodies the following values: playful, ethical, kind, inquisitive, empowering and collaborative practice. Staff will work in a manner that reflects these values while utilising an evidence based approach to therapy.

BillyLids Standard Appointments [clinic or community] are 45 minutes face to face and 15 minutes non face to face time for the therapist to complete note taking.

Appointments are generally booked in blocks of three months. The conclusion of each therapy block is the time for the parent and therapist to collaboratively plan for ongoing care. This includes evaluating progress towards short and long term goals, the child’s motivation and child’s engagement in therapy. This will determine the need for further blocks of therapy.

A parent or guardian [over the age of 18] must be present for the appointment and must remain onsite for the entire duration of the appointment. This includes clinic and community appointments taking place at home.

BillyLids recognises that parents possess invaluable insight into their children. Conversely, parents and guardians recognise that the therapists at BillyLids are uniquely qualified to conduct therapeutic assessments, develop therapeutic plans and coordinate care. Child representatives are to work collaboratively with BillyLids Therapy to identify their child and family’s goals and ensure that the services provided are meeting their needs.

Please Note: BillyLids Therapy is committed to supporting parents and guardians in understanding their child’s progress and therapeutic needs. While we can release paid-for reports and offer feedback sessions during non-face-to-face time, process notes are not released as a rule. Exceptions include cases where a subpoena is issued or a formal request is made by the Department of Child Safety. We strongly encourage parents to actively participate in sessions to upskill and learn how to support their child’s development outside of therapy.

For matters concerning your child’s therapy needs, please reach out directly to your child’s therapist via email. If you’re unsure about their email, please contact the relevant administrative team for assistance.

Cancellation Policy

Consistent attendance is important to achieving outcomes in Occupational Therapy and Speech Pathology. BillyLids Therapy sends courtesy reminders about appointments and will notify in advance when a therapist has scheduled leave. Where possible, we will offer a make-up session.

BillyLids Therapy has a strict cancellation policy. Failure to provide 48 hours notice of appointment cancellation will result in full payment of service fee for missed face to face time. This acknowledges the time the therapist has already spent in engaging is session preparation and planning.

A child representative may request that a cancelled appointment time slot be used for non-face-to-face work, such as report writing. BillyLids Therapy will accommodate where possible and where adequate notice has been given. However, we are not able to accommodate this request for families who do not attend (DNA) appointments.

For community appointments, travel billing may apply for short-notice cancellations. If the family advises of cancellation prior to the therapist travelling to the appointment, travel is not charged. If the therapist arrives at the appointment and the family does not attend (e.g., the child is sick from daycare or not at the agreed place of appointment), the agreed travel amount plus a short-notice cancellation charge will be applied.

Two [2] long-notice cancellations (cancellations made with more than 48 hours’ notice) are permitted per therapy block (a three-month period).

Frequent short-notice cancellations or extended absences may result in the termination of ongoing services to maintain fairness for other clients on the waiting list. Notably, failure to attend three or more consecutive appointments, or three appointments within a six-week period, may lead to the discontinuation of services at the discretion of BillyLids Therapy.

If services are paused or terminated, BillyLids Therapy cannot guarantee the continued availability of the preferred appointment time.

Appointments can be cancelled by emailing or texting the relevant administration team. As much notice as possible is appreciated.

Sickness and Contagious Condition Policy

Children who are unwell or exhibit symptoms of contagious conditions are not permitted to attend therapy appointments. This includes but is not limited to:

  • COVID-19
  • Influenza
  • The common cold
  • Whooping cough
  • Head lice
  • School sores
  • Conjunctivitis
  • Vomiting
  • Diarrhoea

Parents and guardians understand that this policy is implemented to safeguard the health and well-being of BillyLids therapists, administrative staff, and other families visiting the clinic. They also acknowledge that bringing unwell children to appointments can be distressing for the child and does not foster optimal therapy conditions.

If the therapist or administrative team observes that a child is exhibiting signs of illness or contagious conditions upon arrival or during an appointment, the team will have the discretion to cancel the appointment and ask the child to return home. The decision will be based on the team’s assessment of the child’s health and the potential risk to others. Please note that children sent home under these circumstances will still be charged for their session of therapy.

Code of Conduct

BillyLids upholds a standard of treating all individuals encountered through BillyLids Therapy with courtesy and cooperative respect.

In your interactions at BillyLids Therapy, we ask you to adhere to the following principles:

  1. Respect and Courtesy: Treat all individuals encountered through BillyLids Therapy with respect and courtesy.
  2. Zero Tolerance for Bullying and Intimidation: Unacceptable behaviours such as bullying and intimidation will not be tolerated.
  3. Collaborative Environment: Foster a collaborative and supportive environment among therapists, staff, and families.
  4. Adherence to Therapeutic Goals: Work towards achieving the agreed-upon therapeutic goals in a constructive manner.
  5. Open Communication: Maintain open and honest communication with therapists and staff regarding concerns or feedback.

Please be aware that violations of this code of conduct, including instances of bullying and intimidation, with any staff member including administration may result in the cessation of services.

Reports

At BillyLids Therapy, we are committed to providing thorough and timely reports to support our clients’ needs. To ensure we can meet your requirements effectively, please be aware of the following policy regarding reports:

  1. Notice Period: A minimum of 8 weeks’ notice is required for the preparation and completion of any report. This allows us adequate time to gather necessary information, conduct assessments, and compile a comprehensive report.
  2. Submission Request: All requests for reports must be submitted in writing, specifying the type of report needed and the intended use or agency requiring the report.
  3. Information Provision: Clients or their representatives must provide all relevant information and documentation needed to complete the report. This includes previous reports, medical records, and any other pertinent data.
  4. Clinical Reasoning: BillyLids Therapy cannot make recommendations or produce reports regarding a child’s functional presentation that are not supported by our assessments and clinical reasoning. All recommendations and conclusions in our reports are based strictly on evidence obtained through our professional assessment processes.
  5. No Guarantee of Outcome: While we strive to create detailed and accurate reports, BillyLids Therapy cannot guarantee any specific outcome with the National Disability Insurance Scheme (NDIS) or any other agency. The acceptance and effectiveness of the report are subject to the policies and discretion of the respective agency.
  6. Confidentiality: All reports are treated with the utmost confidentiality and will only be shared with parties explicitly authorised by the client or their representative.
  7. Incremental Billing: Reports will be billed incrementally as the work is completed by the therapist. This means that charges will be applied progressively based on the stages of report preparation and completion.
  8. Payment Requirements: Privately paying clients and NDIS self-managed clients must pay in full prior to the release of the report.

Invoices for all services provided will be emailed to the payee within two [2] business days following the appointment. Payment is due to BillyLids Therapy within seven [7] days of receiving the invoice. For those attending clinic appointments, payments can also be made at the time of the appointment using EFTPOS or credit card facilities.

Consent for Photography and Videography for Therapy Purposes

Photographs and video recording may be used for the purpose of assessment, reporting and tracking towards therapy goals. These will be stored securely and privately, and will not be used for advertising or other public use without separate consent being provided.
